The University can access the profile data of users to see who has signed up, and what activity they are undertaking on the platform. They may extract the data into an appropriate CRM system in order to track the activity of the student and analyse the effectiveness of the platform. The University should have in place its own data retention policy, and state this clearly in its privacy agreement.
The university can also view the conversations via their dashboard. Conversations between a prospective student and an ambassador are available in an anonymised form, and can be used in order, for example, to undertake training and supervision of the student ambassadors. Conversations between a prospective student or a student ambassador and staff are not anonymised.
If the ‘Opt In’ to further marketing has been ticked, then the University is able to send further information to the prospective student via an external platform (using the email address supplied).
